MEETING OPENED: 2004 hours with Chairman Chris FERGUSON presiding. The Chairman welcomed all members and thanked the participants on the working bees for the wonderful condition of IPA House and guest unit.

MINUTES OF PREVIOUS MEETING:
As the December meeting was wholly a social event, the minutes of the November 2009 meeting circulated. Moved Peter ROBERTS that the minutes be taken as correct. Seconded Robert BURNS. Carried.

Pete HENRY moved that Leigh BOOTH, Mechanical Investigations Unit, VicPol be accepted as a member. Seconded Chris FERGUSON. Carried.
TREASURER’S REPORT:
Pete HENRY presented the Treasurer’s Report, tabled a copy, then moved the report be accepted and the payments made be ratified. Costs to date $5,967 (carpet $2816, underlay Masonite $80, paint and hardware $269, electrical works $1700, washer/dryer $1102, A/c unit 448). Outstanding work estimates: $1,898 (guest wardrobe $1,200, 2 x guest chairs $398, install A/C unit $300). Total overall $7,865. Seconded Bob MICHELL. Carried. House mortgage balance is $0000.00. IPA House is wholly owned by Victoria Region Inc.
RECEPTION REPORT:
Bob MICHELL, House Manager reported the following: Michael and Kim CROW from Qld Region - 16 to 20 January (touring and no assistance required).
FUTURE VISITORS:
Tasmania Chair lady, Fiona SMITH on 17/18 March - to attend our March meeting. Rene MARCHAND and his wife from Montreal, Canada arrive on 14 March and depart on 19 March. Accommodation is at Travelodge Docklands. They propose to attend the March meeting.
Roddy and Cathy MacLeod from BC, Canada have a brief visit whilst the Dawn Princess is docked at Port Melbourne on 29 March. They have a shore tour booked from 0930 to 1300 so it does not leave much opportunity for hospitality.
SOCIAL REPORT:
Andrew BURNS advised that following the success of the Blue Knights and December meeting BBQ’s, a BYO BBQ would be held prior to the meeting of 17th March. Salads only will be provided.
The Dutch Auction will be held on Saturday 22nd May. Venue is yet to be finalized.

CORRESPONDENCE:
IN: From Marlene MERRIMAN, NZ Police regarding reciprocal arrangements for use of police/IPA houses in Australia. It was disclosed that NZ premises available to IPA members include those owned by Fire Services and Army.
From National President and Secretary General confirming that there is no exclusion on persons other than IPA members accessing IPA House.
Sunshine Unit Body Corporate: Letter re vandal proof security lighting for units cost to Body Corp - $2600. Letter re spout cleaning and drain inspection approx $1692 to $1800 or $108.50 to $120 per unit. Response to be returned.
OUT: To Marlene MERRIMAN, Would you please advise on the nature of the agreements between the police, fire services and military on the use of holiday homes; formal, informal or MoU.
GENERAL BUSINESS:
1. Pete HENRY gave a brief run down on the new National membership database. A few difficulties are being resolved but members will be able to access their personal entry and make alterations to details as necessary. All members having email access should provide details to the Region Treasurer if they have not already done so.
2. Request made by Chairman for additional members for Nat AGM Committee. Sandy PELLING advised that Dick PELLING wishes to assist.
3. Pete HENRY provided an outline of AGM Activities and the various support roles required.
4. Professional Day activities will be coordinated by Chairman and Vice Chairman
5. Volunteers for airport meet and greet/pickups if no police bus: Sandy PELLING, Dave KAY, Andrew BURNS, Wendy MILNE, Tom FURLONG, Frances WOODMAN, Geoff WOODMAN, Trevor O’SHANASSY.
6. Peter ROBERTS provided brief re Sunshine Unit letters and advised that and accept or reject response was required for cleaning spouting check drainage. Moved Chris FERGUSON that spout and drainage payment be accepted. Seconded Ian HICKS. Carried. Peter HENRY will respond to letters. Further issue is that some tenants want fences replaced. Need for this in question. Ian Hicks will investigate.
7. Ian HICKS has received advice from the Vic Police 4 Wheel Drive Club that they will no longer be using IPA House for their meetings.
8. Sandy PELLING advised that she will be unavailable to provide editorial for the August issue of Police Down Under. Steve PERRY agreed to act as sub-editor for this issue.
9. Sally HEARN and Steve PERRY passed over items received as gifts or exchange for addition to the IPA collection.

The Chairman introduced Trevor STEWART from Rathbone Wine Group who presented a couple of dozen selections of white and red wine at very good prices. Enthusiastic sampling followed with numerous orders being completed. The usual appreciation was shown but a Guest Speaker “Red” seemed slightly inappropriate.
